Dashboard Permissions & Visibility

Control exactly who can see and interact with each dashboard in your organization.

Written by Filippo Schiano di Pepe

Teachfloor dashboards are fully role-aware. This means you can create different experiences for learners, instructors, administrators, and organization owners by controlling which dashboards and widgets are visible to each role.

Whether you're building a learner homepage, an instructor workspace, or an admin command center, dashboard permissions let you show the right information to the right people.

How Dashboard Visibility Works

Every dashboard has its own visibility settings.

When creating or editing a dashboard, you can choose which organization roles have access to it.

Supported roles include:

  • Learners

  • Instructors

  • Admins

  • Owners

  • Assistant

Users will only see dashboards that are available to their role.

Note: A single user may have access to multiple dashboards if they have multiple roles within the organization.

Building Role-Specific Dashboards

A common setup is to create different dashboards for different audiences.

Learner Dashboard

Focus on learning progress and engagement.

Recommended widgets include:

  • Courses

  • Calendar

  • Upcoming Events

  • Achievements

  • Leaderboard

  • Banner

  • Embed

  • Apps

Instructor Dashboard

Help instructors manage their teaching activities.

Recommended widgets include:

  • Calendar

  • Upcoming Events

  • Courses

  • Instructors

  • Apps

  • Banner

Admin Dashboard

Provide visibility into your organization's performance.

Recommended widgets include:

  • Metrics

  • Analytics

  • Latest Signups

  • Latest Payments

  • Automations Health

  • Certificates

  • Calendar

Multiple Dashboards

You're not limited to a single dashboard.

Many organizations create separate dashboards for different use cases, such as:

  • Learner Home

  • Instructor Workspace

  • Admin Overview

  • Sales Dashboard

  • Customer Success Dashboard

This allows every team to access the information that's most relevant to their daily work.

Best Practices

To keep dashboards clear and useful, we recommend:

  • Create dedicated dashboards for each user role.

  • Avoid showing administrative metrics to learners.

  • Keep learner dashboards focused on learning and engagement.

  • Reserve analytics and revenue widgets for administrators.

  • Use banners and embedded content to communicate important updates.

Well-designed permissions help create a cleaner experience for every member while ensuring sensitive organizational data is only visible to the appropriate roles.
