How to Set Up Your Sender Email for Notifications

Teachfloor allows you to configure your own email sender for platform notifications. This means that emails sent by Teachfloor—such as course notifications, invitations, and automated messages—can be sent using your organization’s email account instead of the default Teachfloor sender.

To configure your sender email, go to Settings → Customization → SMTP.

Choose Your SMTP Provider

In the SMTP Provider section, select the provider you want to use.

Teachfloor currently supports three options:

  • Google – Connect an existing Google or Google Workspace account.

  • Microsoft – Connect an existing Microsoft or Microsoft 365 account.

  • Manual – Configure your SMTP server manually using your provider's SMTP credentials.

Connect a Google or Microsoft Account

If you use Google or Microsoft, select the corresponding provider from the dropdown.

Click Connect to Google or Connect to Microsoft and follow the authorization process.

You may be asked to sign in to your account and grant Teachfloor permission to send emails on your behalf.

Once the connection is completed, your account will appear as connected in the SMTP settings.

We recommend connecting an email address that you want learners to recognize, such as [email protected], [email protected], or [email protected].

Configure SMTP Manually

If your email provider is not Google or Microsoft, select Manual.

Enter the SMTP information provided by your email service provider, including the SMTP server, port, username, password, and the required security settings.

The exact values depend on your email provider or your organization's mail server configuration.

Send a Test Email

After completing the configuration, click Send Test Email.

This allows you to verify that Teachfloor can successfully send notifications through the connected email account.

We strongly recommend sending a test email before using the new sender for your learners.

Changing or Disconnecting the Sender

You can return to Settings → Customization → SMTP at any time to change your SMTP provider or disconnect the currently connected Google or Microsoft account.

After connecting a different account, send another test email to make sure the new configuration is working correctly.

Important

The SMTP configuration determines the email account used to send Teachfloor notifications. Make sure the account remains active and that Teachfloor continues to have permission to send emails through it.
